Purpose of the Job

  • To provide administration, financial and organisational services to the school within set frameworks.
  • To provide customer service functions to our pupils, parents/carers, trustees and other visitors to school.
  • To provide general administration and clerical support to the Senior Leadership Team.

Main Duties


  • To be responsible for and oversee the administration of attendance data, and work with external agencies to improve pupil attendance. Compile and maintain the school’s attendance data profiles, including reasons for absences and ensure accurate records.  Maintain up to date information of legislation, regulations and guidance to support attendance.
  • Maintain up to date computerised pupil records, complete data collection checks for all pupils and process holiday requests.
  • Complete all census related data, on approval of the SBM and Headteacher, and communicate returns as appropriate in line with government deadlines.
  • Oversee pupil assessment liaising with staff and preparing marksheets and Key Stage results. Import/export data using Sims and Key Stage Wizards. Ensure CTF files are imported and exported as per admissions and leavers to the school.
  • Manage whole school admissions and leavers, prepare and distribute admission documents.
  • Assist with personnel administration such as DBS checks, recruitment, contracts, and recording of staff absence data on schools HR system. Assist with the annual workforce census and maintain up to date staff data on HR system.
  • Receive relevant phone calls, emails and other communication-record and inform appropriate personnel.
  • Prepare letters, parent information and ensure such communication is distributed by agreed deadlines and photocopying as required.
  • Manage and maintain office filing systems in line with GDPR.
  • Undertake any other reasonable duties directed by the School Business Manager or Senior Leadership Team.
  • Willingness to undertake training to assist with the role.



  • Liaise with teaching and support staff, pupils, parents and carers, members of the public, trustees and agencies.
  • Maintain strict confidentiality and adhere to safeguarding policies and procedures.


  • Manage and maintain filing systems for official documentation and accessing/storage of information in line with government guidelines and GDPR.


Pupil Care


  • Informing parents of sick children/emergency contact.

Office Care


  • Ensuring the tidiness and general appearance of the immediate work environment and the schools busy main office. Adopt a clear desk policy.


Pay and Conditions

Appointment will be made subject to satisfactory references and DBS and Medical clearance procedures

Salary currently on Grade D point 7 - 11 for 37 hours per week paid pro-rata and 5 inset days worked over the school academic year.

        £17,487 - £18,928 (actual annual salary)
